Privacy Policy

This policy explains what information Useno handles, why we use it, and the choices available to you.

1. Scope

This Privacy Policy applies to Useno's websites, student workspace, the Useno Autofill browser extension, communications, and support services. It does not govern third-party websites, employers, or services linked from Useno.

2. Information we collect

Authentication information

When you create or access an account, we may process your email address, name, authentication provider identifiers, login events, and security information needed to establish and protect your session. We do not receive your password in readable form.

Profile and preference information

We may collect your school, program, graduation year, location, opportunity preferences, interests, and other profile details you choose to provide.

Contacts and networking information

If you use the contacts workspace, we process the names, organizations, roles, email addresses, notes, interactions, and related details you enter. You are responsible for having a lawful reason to store another person's information.

Documents

We process resumes, cover letters, transcripts, portfolios, notes, and other files you upload, together with filenames, file types, versions, and links to applications. Do not upload information you are not authorized to use.

Applications and saved opportunities

We process employers, roles, stages, deadlines, status history, notes, linked contacts and documents, saved jobs, and related job-search activity you record.

Technical and support information

We may collect device and browser information, IP address, requested pages, timestamps, error details, and communications you send to support.

3. Cookies and local storage

Useno's own code writes no cookie of any kind. Our product analytics is cookieless, and your session and workspace state are kept in browser storage rather than in a cookie.

Analytics and advertising measurement run by default, and you can switch them off at any time under Settings → Privacy & analytics. We do not show a consent prompt. Switching them off stops collection immediately, prevents Meta's and TikTok's scripts from loading, removes the Meta and TikTok cookies your browser lets our pages reach, and deletes the stored campaign information. Your choice is saved in that browser.

Two third parties set cookies: Meta and TikTok. Unless you have switched advertising measurement off, we load the Meta Pixel, which sets _fbp (an identifier for your browser, kept for about 90 days) and, if you arrived from an ad, _fbc (the click identifier from that ad). We also load the TikTok Pixel, which sets _ttp (an identifier for your browser, kept for about 13 months). Their purpose is to tell us which of our social posts led to sign-ups. You can switch this off under Settings → Privacy & analytics: neither script is then loaded at all, and these cookies are removed from your browser. Cookies set on a domain your browser does not let our page address cannot be removed by us; you can clear those through your browser's own settings.

We do use your browser's local and session storage to maintain your signed-in session, remember preferences, preserve workspace state, prevent duplicate records, and support security. Some workspace information is stored locally in your browser and scoped to your account. Clearing browser data may remove locally stored settings or records that have not been synchronized.

4. Analytics

Useno uses PostHog for product analytics, to understand page usage, feature adoption, errors, and service performance. We also use Vercel Web Analytics and Speed Insights for aggregate traffic and performance measurement.

All of this is optional and can be switched off at any time under Settings → Privacy & analytics. Switching it off changes nothing about your ability to use Useno. Beyond that, our analytics is configured to be minimal:

  • Product analytics uses no cookies. While signed out, the identifier used to group your page views is held in session storage and is discarded when you close the tab; it is never restored on a later visit. The Meta and TikTok Pixels described in section 3 are separate and do set cookies.
  • Session replay runs on a sample of about 1 in 4 sessions, to let us see how a flow actually breaks. Recordings are heavily redacted before they leave your browser: everything you type is blocked and never captured, all other on-page text is masked character by character, and your entire resume workspace is excluded. We do not record your browser console, and heatmaps and mouse-movement tracking are disabled. You can switch analytics, including replay, off entirely under Settings → Privacy & analytics.
  • No profile is created for signed-out visitors. Once you sign in, analytics events are associated with your Supabase account identifier (a random UUID) and never with your email address.
  • If you arrive from a link that carries campaign tags (for example from a social post), and you have not switched analytics off, we keep those tags in your browser's local storage for up to 180 days so we can tell which posts bring students to Useno. This record holds the campaign labels, the referring site, and the page you landed on. It contains no identifier for you, it does not create a profile, and it is deleted if you switch analytics off in Settings.
  • We do not send document contents, resume text, contact notes, free-text onboarding answers, or other written workspace content as analytics events, and a filter strips email-like values and known sensitive fields before anything is sent.

You can turn optional analytics and advertising measurement off, or back on, at any time under Settings → Privacy & analytics. The choice is saved on that browser. Turning it off stops collection immediately, removes the stored campaign information, and removes the Meta and TikTok cookies your browser lets our pages reach.

Useno previously used Google Analytics. It has been removed and is no longer loaded on any page.

5. Useno Autofill browser extension

Useno Autofill is an optional Chrome extension that fills job application forms with the details you save on your Autofill page. It never submits an application. You check every answer and submit the application yourself.

What it uses

  • Your Autofill profile. The details you save at useno.app/autofill: your name, email address, phone number, address, education, work history, links, your answers about work authorization, sponsorship, relocation and availability, your desired pay and start date, and, only if you choose to give them, your answers to voluntary self-identification questions (gender, Hispanic or Latino origin, race, veteran status and disability). The extension downloads this profile from Useno when it fills a form and does not keep a copy on your device.
  • Your resume. When a form asks for a resume, the extension downloads the resume you chose from your Useno account and attaches it to that form.
  • The application form in front of you. On supported application sites (Greenhouse, Lever, Ashby, Workday and SmartRecruiters), the extension reads the form's questions, their options and whether each box is filled, so it can match them to your profile. It does not run on other websites. It does not send those questions or your answers to Useno, except as described below under remembered answers and problem reports.

What it stores and sends

  • Your sign-in. A Useno session for the extension, kept in the extension's own storage on your device until you sign out.
  • Remembered answers. Only if you click Remember my answers: the questions Autofill did not recognize and the answers you gave, saved to your Useno account so the same question can be filled next time. It never remembers questions about gender, sexual orientation, race or ethnicity, disability, veteran status, pronouns, religion, pregnancy, criminal history, pay, government identity numbers, date of birth, citizenship, passwords, signatures, or any acknowledgement or consent. You can see and delete remembered answers on your Autofill page. At most 200 are kept.
  • Problem reports. Only if you use Report a problem: your message, the address of the application page without its query string, which application system it was, and counts of how many boxes were filled. Reports are stored with your account and used only to fix Autofill.
  • Job locations. To answer a question that depends on where a Greenhouse job is, the extension may look the job up in Greenhouse's public job listing. That request identifies the job, not you.

What it does not do

  • It does not sell your information, show advertising, or use your information for anything other than filling the applications you choose to fill.
  • It contains no analytics or tracking, and it runs no code downloaded from the internet.
  • It does not create accounts on employer sites, type passwords, or act on sign-in pages.
  • It does not submit applications or move you to the next step of an application.

Your choices. You can sign out of the extension at any time, change or delete your Autofill details and remembered answers on your Autofill page, or remove the extension from Chrome, which deletes everything it stored on your device. To delete your Autofill profile from Useno, contact us at the address below.

6. How we use information

  • provide, personalize, and maintain the student workspace;
  • authenticate users and protect accounts;
  • synchronize contacts, documents, applications, and preferences;
  • rank or organize opportunities based on preferences;
  • send requested service and account communications;
  • send job alert emails and occasional Useno updates, if you left the email box ticked when you signed up or turned alerts on later. Alerts are matched to the preferences you gave during onboarding;
  • respond to support, privacy, and legal requests;
  • detect abuse, troubleshoot errors, and improve reliability; and
  • comply with law and enforce our agreements.

7. Service providers and disclosures

We use service providers that process information on our behalf, which may include:

  • Supabase for authentication, database, and storage services;
  • Vercel for website hosting, delivery, performance, and related analytics;
  • PostHog for product analytics;
  • Resend for delivering account emails and job alert emails;
  • Meta for advertising measurement, unless you have switched it off. Meta receives the address of the page you are on and an identifier for your browser. It never receives your name, email address, or anything you write in Useno;
  • TikTok for advertising measurement, unless you have switched it off. TikTok receives the address of the page you are on, an identifier for your browser, and the fact that an account was created. It never receives your name, email address, or anything you write in Useno;
  • Google for optional sign-in, and for serving web fonts and company logos; and
  • other infrastructure, monitoring, or communication providers needed to operate Useno.

These providers process information under their own terms and privacy commitments. Information may also be disclosed when required by law, to protect rights and safety, in connection with a business reorganization, or with your direction or consent. We do not sell your personal information.

8. International processing

Our providers may process information in Canada, the United States, or other countries. Privacy laws in those locations may differ from those where you live. We take reasonable steps to use providers and safeguards appropriate to the information involved.

9. Data retention

We retain account and workspace information for as long as needed to provide the service, maintain security, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and whether information is stored only in your browser. When information is no longer needed, we take reasonable steps to delete or de-identify it. Backups may persist for a limited period before being overwritten.

10. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the service. No internet service or storage system is completely secure, so we cannot guarantee absolute security. Use a unique password and contact us if you suspect unauthorized access.

11. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information; withdraw consent; or object to certain processing. You can update many profile and workspace records directly in Useno. You may also sign out, clear local browser data, or request account deletion.

Emails. Every job alert email has an Unsubscribe link that works without signing in, and you can also turn alerts off under Settings. Unsubscribing takes effect immediately and stops all optional Useno emails. We keep a record of when you turned emails on and off, so we can show that we respected your choice. Account emails such as password resets are not affected.

To make a privacy request, email hello@useno.app from the address associated with your account. We may need to verify your identity. You may also have the right to contact an applicable privacy regulator.

12. Children

Useno is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has provided information improperly, contact us.

13. Changes and contact
